Research Ops Coordinator

The Research Ops Coordinator ensures smooth delivery of research projects by aligning people, priorities, and processes. Acting as the operational glue of the team, the role manages incoming requests, tracks timelines, surfaces blockers, and maintains quality standards across the board. The Research Ops Coordinator also serves as a key liaison with other teams, ensuring alignment at every stage of the research process.

Beyond coordination, you’ll support report creation and outputs during peak periods, helping the team remain responsive and efficient. You’ll also play an active role in process governance, documentation, and continuous improvement.

Success in this role means research projects run smoothly, stakeholders stay informed, and the team consistently delivers high-quality outputs on time.

Key Responsibilities

  • Own coordination of research projects, ensuring timelines, capacity, and priorities are well managed
  • Track and triage incoming requests, ensuring clarity of scope and alignment with team capabilities
  • Monitor progress and surface risks early, keeping stakeholders informed
  • Partner with internal teams to clarify needs, expectations, and delivery timelines
  • Serve as the main liaison for operational alignment across functions
  • Ensure adherence to best practices and internal processes, driving team efficiency and quality
  • Document project statuses, blockers, and outcomes to maintain visibility across teams
  • Identify opportunities to simplify, accelerate, or enhance research operations
  • Support report creation and validation, especially during high-volume periods
  • Coordinate, schedule, and manage internal sessions, ensuring logistical efficiency and budget alignment.

Requirements:

  • Previous experience in project coordination, research operations, or similar.
  • Strong organizational and time-management skills, with the ability to manage multiple interdisciplinary projects simultaneously
  • Ability to adapt quickly and remain effective under pressure, especially during high-volume periods
  • High attention to detail, with a structured work style and clear communication skills
  • Proficiency in JIRA (or similar tools such as Trello), with strong overall technical competence and the ability to quickly learn new systems
  • Fluency in Portuguese and English, both written and spoken
  • Full-time role based in Portugal — hybrid, with a strong preference for on-site presence
